User Personas: Admin | Field User
On mobile, Scheduling is My Schedule: a read only view where a crew member sees their own work days and days off. It is built for the field, so you can check where you are working, when, and any notes left for you, straight from your phone.
This article covers My Schedule on a phone or tablet. Building and changing schedules is a web feature. For the full board, all projects and all crew, see Scheduling.
To use My Schedule you must be signed in as a crew member and have the My Schedule permission, and the Scheduling module must be enabled for your organization.
| Your schedule is built and maintained by your office or project manager on the web. My Schedule shows you what they have assigned. You cannot change it here. |

Who can use My Schedule
My Schedule is controlled by its own permission and only appears for a signed in user who is also a crew member. Crew members on the Crew Basic license can only ever see their own schedule, and they land on My Schedule as soon as they sign in, because it is the feature available to them.
| Action or feature | Required permission |
| My Schedule on mobile | The Scheduling module enabled, plus My Schedule, and the signed in user is a crew member |
| Everything else in Scheduling | Web only, and requires the Scheduling General Permissions. See Scheduling |
If you do not see My Schedule, contact your eSUB Admin to confirm your license and permissions.
Open My Schedule
- Open the eSUB mobile app and sign in.
- If you are a Crew Basic user, My Schedule opens automatically.
- Otherwise, open the slide-out menu and select My Schedule.
Reading your Schedule
My Schedule opens on the next 14 days. The header shows the window and the dates it covers, for example Aug 12 to Aug 25. What you see first is the work coming up, not what already happened.
| Mobile and the web show the same assignments over different windows. On the web, My Schedule is grouped as Yesterday, Today, and This Week. On your phone, it is the next 14 days starting with today. |
The Day Summary
Below the header, four counters total up the whole 14 day window, so you can size up the stretch ahead without scrolling:
| Counter | What it counts |
| Working | Days you are staffed on at least one job. |
| Time Off | Days you are off, including company holidays. |
| Weekend | Saturdays and Sundays in the window. |
| Open | Days with nothing scheduled. |
The four counters together always add up to the 14 days in the window.
The 14 day Selector
Under the counters, the 14 days appear as pills in two rows of seven. Today is highlighted. Select any pill to jump the list straight to that day instead of scrolling.
The pills are color coded, so you can read the shape of the two weeks at a glance: today, working days, weekends, company holidays, and your own time off each carry their own color.
Work Day Cards
A work day card shows:
- The project number and project name.
- The Schedule Item title under the project name, so you know which piece of work you are on, for example Foundation Pour or Site Utilities Rough-In.
- A day badge such as DAY 12 OF 17, showing where the day falls within the overall assignment.
- A TODAY or TOMORROW badge on the next two days.
- The job address, with a DIRECTIONS link that opens a map to the site.
If you are on more than one job in a day, that day shows a card for each of them.
Notes on a Work Day Card
Note Types on a Work Day | |
| A card can carry two different notes, and they are not the same thing. Check both before you head out. | |
| Note | Who it is for |
| Note for You | Written for you, on that day only. This is the Personal Note your project manager adds on the web. A gate code, where to park, travel details, or something to chase down on site. |
| Project Notes | Written for everyone on that work, not just you. The same text appears for the whole crew, for example the pour quantity and start time. |
Days off, Holidays, and Weekends
On a day you are not working, a simpler card replaces the work day card and names the reason. Weekends show as Day Off. A company or project closure shows as Company Holiday. Your own time off shows as Paid Time Off with its title underneath, for example Jury Duty - Orange County.
Company wide and market area wide days off appear here automatically. You do not have to look for them separately.
Days Off, Holidays and Weekends | |
What each card means
| Card | What it means |
| Work day card | You are staffed on that job that day. Shows the project, the Schedule Item, the address, and any notes. |
| Day Off | Nothing scheduled. Weekends inside the window show this way. |
| Company Holiday | The company, or the project you are on, is closed that day. Set on the web as project or market area time off. |
| Paid Time Off | Your own time off. The title underneath names the reason, such as Vacation, Sick, Jury Duty, or Bereavement. |
Whichever it is, your schedule already shows the final answer for that day. You do not have to work out where it came from.
Keeping your schedule up to date
Your schedule refreshes automatically when you open My Schedule or return to it, and the header tells you how long ago it last updated. To pull the latest at any time, pull down to refresh.
| If a manager changes your schedule while you are looking at it, pull down to refresh to see the update. Changes are not pushed to your phone automatically. The updated time in the header is the quickest way to tell whether you are looking at fresh information. |
Working offline
My Schedule works without a connection. The app keeps a local copy of your recent schedule on your device, so you can still check your assignments where signal is poor or missing.
- Offline: My Schedule shows the last version that loaded while you had a connection.
- Back online: the app fetches the current schedule and updates what you see.
Because My Schedule is read only, there is nothing to sync back from your phone.
| Offline shows the last state that loaded, which may be out of date. When you are back in signal, refresh before you act on it, especially first thing in the morning. |
What you cannot do on mobile
My Schedule is view only. On mobile you cannot:
- Add, edit, or delete Schedule Items or Time Off.
- See other people's schedules, or the Project View and Crew View boards.
- Change assignments, crews, or notes.
All of that is done on the web by an office user or project manager. See Scheduling for the web workflow.
FAQ
Why can I not edit my schedule on mobile?
My Schedule is read only by design. Your office or project manager builds and adjusts schedules on the web. The mobile app is for checking your own assignments.
Why do I not see the full company schedule?
The full board, meaning all projects and all crew, is web only. On mobile you see only your own schedule. What appears on your schedule at all also depends on the market areas you are assigned to, which is explained in Market Area Visibility: Who Sees What.
How far ahead can I see?
My Schedule opens on the next 14 days. For work further out than that, or for anyone else's schedule, the full board on the web is the place to look. Your project manager can pull it up.
Why can I not see yesterday?
The mobile window starts with today and looks forward. To review a day that has already passed, use My Schedule on the web, which groups your assignments as Yesterday, Today, and This Week.
What is the difference between Note For You and Project Notes?
Note For You was written for you, for that day. Nobody else on the crew necessarily sees it. Project Notes is for everyone working that item, so the whole crew sees the same text. Read both.
My schedule did not update.
Changes are not pushed to your phone. Pull down to refresh, or reopen My Schedule, to fetch the latest. Check the updated time in the header to confirm.
Can I use My Schedule without a connection?
Yes. The app shows the last schedule that loaded while you were online. Reconnect and refresh to get the latest.
Why can I not open My Schedule at all?
You need to be a crew member with the My Schedule permission. Contact your eSUB Admin to check your license and permissions.
My schedule looks wrong. Who do I tell?
Tell your project manager or whoever builds the schedule in your office. My Schedule reflects what was entered on the web, so the fix has to happen there.
