User Personas: Admin | Project Manager | Field User
eSUB Drive is where your company's files live inside eSUB Fusion, so the crew in the field reaches the same submittal log, safety certificate or cut sheet the office is looking at, without anyone emailing a copy around.
There are two of them. eSUB Drive holds files the whole company needs. Project Drive holds files that belong to one job and only that job.
To perform the actions described in this article, you must have the Company Drive - General Permissions and Project Drive - General Permissions permissions. See the Permissions table at the end of this article.

eSUB Drive and Project Drive
Both drives work the same way once you are inside them. The difference is who can reach the files and what belongs in each one.
| Drive | Where you find it | What belongs there |
| eSUB Drive | The global navigation menu. | Files the whole company uses on every job. Safety certificates, cut sheets, standard details, company forms. |
| Project Drive | The slide-out menu inside a project. | Files that only matter to that job, and that only members of the project need to see. |
| Put a file in the Project Drive when it is job specific and in eSUB Drive when it is not. A file in eSUB Drive is reachable from any project, so you upload it once instead of once per job. |
View and Manage Drives
To access eSUB Drive:
- Select eSUB Drive on the global navigation menu
- Select a folder to view its contents
To access Project Drive:
- Select Projects on the global navigation menu, then select a project from the list
- Select Project Drive from the slide-out menu
- Select a folder to view its contents
Drive Features
Thumbnail and list views. Select the view button to switch between thumbnail and list views.
File sorting. Select a column header to change the sort.
Folder navigation. Select the navigation pane toggle to expand or collapse the folder directory. Use the file path links across the top to jump back to a folder you came from.
| The three-dot button and a right-click both open the same actions on a file or folder, including Preview, Rename, Download, Delete, New Directory and Upload Files. Right-clicking is faster once you know it is there. |
Upload Files
- Select the destination folder, then select Upload Files
- Select the file or files in the file browser window, then select Open to begin the upload
Files land in the folder you selected, so check where you are before you start a large upload.
Rename a File
- Select the file, then select Rename from the top bar, or use the three-dot button and select Rename
- Make your changes, then select Save
Manage Folders and Sub-folders
Folders in a drive nest as deep as you need them to. The structure is worth agreeing on before the job starts, because moving files around later is more work than filing them correctly the first time.
Create a Folder
- Select the target parent folder, then select New Directory
- Enter a name for the new folder, then select Create
Rename a Folder
- Select the folder, then select Rename from the top bar, or use the three-dot button and select Rename
- Make your changes, then select Save
Download and Delete Files and Folders
You can download or delete one item or many at once. Downloading is capped per folder. Deleting is not capped, and it cannot be undone.
Download Files and Folders
You can select up to 500 files and 500 folders, a total of 1,000 items, in the folder you are currently viewing. Everything inside the folders you select comes along, and that content is not counted against the limit.
- Select the files or folders you want
- Select Download from the button bar above the list, or use the three-dot button and select Download
- Wait for the progress bar in the top right of the screen. eSUB Fusion gathers the selection into a single zip file, which you retrieve when the download finishes
If you select more than 500 files or more than 500 folders in the current location, you are prompted to remove some of the selection before the download can start.
Delete Files and Folders
There is no cap on deleting. You can select any number of files and folders, including Select All.
- Select the files or folders you want to remove
- Select Delete from the button bar above the list, or use the three-dot button and select Delete
- Confirm the number of items shown in the prompt, then select Delete
| Deleting cannot be undone, and deleting a folder deletes every sub-folder and file inside it. The confirmation prompt shows the item count, but that count does not include the contents of the folders you selected. Read it as a floor, not a total. A very large delete can also take a while to finish with no visible progress, so give it time before assuming it failed. |
Attach Drive Files to Documents
Files already sitting in a drive can be attached to a document without downloading them first and uploading them again. When you are creating or editing a document, select Browse Drive in the Media & Attachments section to open the Attach Files modal, then browse to the files and attach them.
The modal reaches your computer, eSUB Drive and the Project Drive for the job you are on. A connected cloud storage account, such as Google Drive or Dropbox, may also appear; those sources are being rolled out gradually and may not be turned on for your account yet.
Two things are worth knowing before you rely on it:
- What gets attached is a copy. Editing the original in the drive later does not change what is attached to the document.
- The search box inside the modal narrows the folder you are currently in. It does not search the whole drive.
For the full walkthrough, including the table and card views and the filtering controls, see the Document Media and Attachments article.
Permissions
| Permission | What it allows |
| Company Drive - General Permissions | Open eSUB Drive from the global navigation menu and work with the files and folders in it. |
| Project Drive - General Permissions | Open the Project Drive on a project you are a member of and work with the files and folders in it. |
If a user cannot see an action described in this article, review their Drive permissions. Admins manage these from User Permissions.
FAQ
Can I search across the whole drive?
No. Navigate to the folder you need using the folder directory or the file path links. The search box inside the Attach Files modal searches only the folder you are currently viewing.
If I update a file in the Drive, does the document I attached it to update too?
No. Attaching takes a copy at that moment. If the file changes, attach the new version to the document as well.
Can I share a Drive file with someone outside eSUB?
Not from the drive directly. Download the file and send it, or email it from the document it is attached to. See the Emailing Documents article.
Do photos from Field Notes and Daily Reports land in the Project Drive automatically?
No. Media attached to a Field Note or a Daily Report stays with that document. To keep a photo in the Project Drive, upload it there as well.
I deleted the wrong folder. Can I get it back?
No. There is no recycle bin and no undo. This is why the confirmation prompt exists, and why it is worth reading the item count before selecting Delete.
