User Personas: Project Manager | Field User
Keywords and tags add context to a document and make it findable later. A Daily Report keyworded Weather Delay stops being one report among hundreds and becomes a data point you can pull up when the delay claim gets written.
eSUB Fusion has three separate tagging features and they do not behave the same way. Keywords are a fixed list your company controls, applied to Daily Reports and Field Notes. Location Tags are created by the field as they work, on a Field Note, and belong to one project. Tags on Drawings sheets are a third feature that lives only in Drawings.
To perform the actions in this article, you need the General Permissions create and edit permissions for the document type you are working in. See the Permissions table at the end of this article.
This article covers the web component. For the same work in the mobile app, see Applying Keywords and Other Tags to Documents on Mobile.

Applying Keywords to Documents
Keywords are configurable tags added to Daily Reports and Field Notes so an issue or setback on the job site gets a faster response, and so the same information can be reported on at the project level. Every organization comes with a preloaded list of keywords, and that list can be added to, changed, or retired to match how your company tracks work.
To learn more about putting keywords to work, see Strategic Use of Keywords.
Where Keywords Come From
Keywords are managed at the company level. An administrator maintains the list under Company Settings, and everyone else selects from it. You cannot create a keyword while you are filling out a document, which is deliberate: it keeps the list consistent so a filter on Delay returns every delay rather than five spellings of one.
If a keyword you need is not in the list, ask your eSUB administrator to add it. See Keyword Setup for how that is done.
| This is the difference to remember: keywords come from a company list you select from, and Location Tags on a Field Note are typed in as you go. |
Apply a Keyword to a Document
While creating or editing a Daily Report or a Field Note:
- Select the Keywords field.
- Select the keywords that apply to the document.
- Save the document.
Applied keywords show on the document, and you can change them any time you have edit rights.
Remove a Keyword from a Document
While creating or editing the document:
- Select the Keywords field, then deselect the keywords you want to remove.
- To clear every keyword at once, hover your cursor over the Keywords field and select the X that appears.
- Save the document.
Removing a keyword from a document has no effect on the company keyword list.
Filter a Log by Keyword
Keywords earn their keep at the log. Filter the Keywords column on a document log to narrow the list to just the documents carrying the keyword you are after, which is how you pull every weather day or every access issue on a project without scrolling the whole log. That is also the reason to keep keywording consistent across the crew.
Applying Location Tags to Field Notes
Location Tags work the other way around from keywords. They are created on the fly, by the person writing the Field Note, and they belong to a single project. Every new project starts with an empty list, and the list grows as the field creates tags.
Create a Tag
While creating or editing a Field Note:
- Select the tags field and enter the name of the new tag, then press Enter to add it.
- Select the checkbox on the new tag to apply it to the document.
- Save the document. The tag joins the project's tag list once the document has been saved with it applied.
Apply a Tag to a Document
While creating or editing a Field Note:
- Select the tags field, then select the checkbox for each tag you want to apply.
- Save the document.
Remove a Tag from a Document
While creating or editing a Field Note:
- Select the tags field, then deselect the tags you want to remove.
- To clear every tag at once, hover your cursor over the field and select the X that appears.
- Save the document.
The tag stays on the project's tag list.
Tags on Drawings Sheets
Drawings has its own tagging, separate from everything above. Sheet tags are not keywords and they are not Location Tags: they belong to the Drawings tool, they are applied to a sheet rather than to a document you wrote, and they are managed on the sheet itself.
For the full treatment, including how sheet tags are set up and applied in bulk, see Sheets: Viewing, Uploading, and Managing.

FAQ
Why can I not type a new keyword on my Daily Report?
Keywords are company managed by design, so you select from the list rather than adding to it. Ask your eSUB administrator to add what is missing.
How many keywords can one document carry?
More than one. Apply every keyword that fits, since that is what makes the log filter worth using.
My new Location Tag disappeared. Where did it go?
A new tag joins the project's tag list when the document is saved with the tag applied. If the document was closed without saving, the tag went with it. Create it again and save.
Why does another project not show the Location Tags I created?
Location Tags belong to one project. Each project builds its own list.
Are the keywords on my phone the same as the ones on the web?
Yes. The keyword list is company managed, so it is identical everywhere. See Applying Keywords and Other Tags to Documents on Mobile.
Do sheet tags show up in the Keywords column on a log?
No. Sheet tags are a Drawings feature and are separate from keywords entirely.
For questions about keywords, tags, and every other tool, see Frequently Asked Questions (FAQ).
