User Personas: Project Manager | Field User
Daily Reports track daily progress on the job site, including weather conditions, Keywords, foreman commentary, images from the field, and crew labor. As you complete Daily Reports on a project, the data populates reports and widgets across eSUB Fusion.
To perform the actions described in this article, you must have the Daily Reports - General Permissions and Share permissions.

View and Manage the Daily Report Log
- Select Projects on the global navigation menu, then select the desired project from the list.
- Select Daily Reports from the slide-out menu.
- Use the sort and filter icons on the log to refine the list.
- Select a Daily Report to view it.
Log Features
Search, Sort, and Filter the Log
- Use the Search bar at the top of the page to enter your search criteria.
- The filter funnels in the column-header can be used to make your desired filtering selections.
- Clicking on the column-header description will allow you to sort the data in the log in ascending or descending modes based on the contents of the column.

Export Daily Report Logs
The Daily Report log can be exported to a .csv or Excel file so you can save your records or analyze them. The export includes the info displayed under the Info and Comments tabs of the Daily Report, plus additional columns including crew labor hours, so you can analyze labor data without opening each report.

From the Daily Report log in either the Global or Project View:
- Select Actions, then select Export Log as CSV or Export Log as Excel. The file downloads to your default downloads folder.

Email a Daily Report
- Select the three-dot button on the log page, then select Email.
- Compose the email, then select Send.

Create Daily Report
Daily Reports can be created on either the mobile app or the web. See the Daily Reports on Mobile article for more guidance on creating Daily Reports via the mobile app.
- Select Projects on the global navigation menu, then select the desired project from the list.
- Select Daily Reports from the slide-out menu.
- Select Add Daily Report on the action button.
- Fill in the fields as desired (see additional details below in Daily Report Features).
- Select Save when finished.

General Info |
Use the fields in the General Info section to document worksite information for the day, such as the total workers on site, time on site, and the weather. If the No. field is left blank, the Daily Report number is generated automatically. This information appears as part of the letterhead when a PDF of the Daily Report is generated or sent to project stakeholders via email. Weather: If the project has a valid address, the day's weather auto-populates. Enter weather conditions manually if the actual observed weather differs from the automatic weather reporting. Keywords are tags that can be added to the document for categorization purposes or to bring attention to issues or setbacks on the job site. See the Applying Keywords article or the Strategic Use of Keywords article for more guidance.

Add comments to the Daily Report to document the progress or conditions of the worksite. Use the Internal Comments section for comments you want to keep internal to your company; by default, these comments are not included when emailing or printing the Daily Report. An admin can customize or remove the comment fields under Settings in the global navigation menu. See the Company Settings article for more guidance. |

Use the Crew tab to document the labor hours and shift information of your Crew. The labor hours of the Crew will also populate as a time card in the Time Management module. See also Crew Tab and Track Crew Labor. The Crews tab must be enabled in Company Settings before you can track Crew labor. |

Create a new Daily Report pre-filled from the current Daily Report. Useful when the crew, and cost codes repeat day to day, so you only update hours, quantities, and notes. The following information is carried over:

Crew Tab
Use the Crew tab to document the labor hours and shift information of your Crew. The labor hours of the Crew can also populate as a time card in the Time Management module.
The Crews tab must be enabled before you can track Crew labor. See Track Crew Labor.
Media & Attachments Tab
Attach files, media, and other supporting documentation to the document. Files can be added from your computer or attached directly from eSUB Drive, Project Drive, or a connected cloud storage account using the Attach Files modal. Some attachments can be included when generating a PDF of the document, if desired.

Activity Log
The Activity Log tab displays a timeline of activity related to the document, such as email activity.
To see the Activity Log tab, you must have the Mailbox - General Permissions permission.
From the document log page:
- Select the document to view it, then select the Activity Log tab.
- Select an entry in the log to view the associated message.
View History
Use View History to view and audit changes made to a Daily Report over time.
- Select the View History button when viewing a Daily Report.
- Select the three-dot button next to the desired entry. A modal opens; scroll to view the details of that entry.
Generate a PDF and Email a Daily Report
Generating the PDF and sending it are one flow for Daily Reports. What you choose to include is what goes out, so you review before you send.
- Select the three-dot button in line with the Daily Report on the log page, then select View PDF.
- Alternatively, while viewing a Daily Report, you can select the View PDF button.
- Select the media and attachments to include and set their order, and view options then select Generate PDF.
- Review the PDF, then select Email to send it, or Download to save it.
- To change what is included, select Configure and repeat step 2.
- Add recipients and any comments, then select Send.
Track Crew Labor
To track Crew labor, the Crews tab for Daily Reports must be enabled under Company Settings > Daily Reports. See the Company Settings article for more guidance.

Missing labor commitments or labor dollars after entering a Daily Report with timecards?
The usual cause is a missing Labor Class or Rate Template. Blank values in the Labor Class field on the Crew tab of a Daily Report, or in the Timecard Management log, are the first tell. If no Labor Class or Rate Template was assigned when the Daily Reports were entered, the Job Cost Report will not show any committed labor dollars. To correct it:

Add Crew
While creating or editing the Daily Report:
- Select the Crew tab, then select Add Crew.
- Select the desired Crew Members.
- Crew members you have used recently appear at the top of the list so you can select your regular crew quickly each day.
- The list stays open while you select, so you can add multiple crew members without reopening the drop-down menu. Selected employees are marked with a checkmark.
- Type in the field to search for a specific crew member.
- Enter the Cost Codes and Hours information for the Crew.
- Select Add Cost Code to add another Cost Code if desired.
- Select the Delete icon to delete a Cost Code if desired.
- Select Done when finished.
Override Crew's Labor Class
Default Labor Classes are assigned to Crew members by an administrator. You can temporarily override a Crew member's Labor Class on a Daily Report if the Crew member performed work as a different Labor Class for a portion of their work day.
The Labor Classes available on the Labor Class Override field depend on the project's selected Rate Template under Settings > Project Info. See the Labor Rates Setup article for more guidance.
While creating or editing the Crew on a Daily Report:
- Select the Labor Class Override field and choose the desired Labor Class for the Crew member(s).
- The override can be cleared after selecting, if needed.
- Select Save when finished.
Edit Crew
While creating or editing the Daily Report:
- Select the Crew tab and make edits under the Crew Summary:
- Select Add Crew to add another Crew member.
- Edit the crew member hours using the inline fields.
- Select Add Cost Code to add a cost code to a Crew member.
- Select the Delete icon on a Cost Code to delete a Cost Code from a Crew member.
- Select Delete Crew Member on the three-dot button on the Crew member to delete them.
- Select Save when finished.

Crew Tab Features
Select Add Crew to enter time for your crew(s).

Labor Class Override |
Use this field as a temporary manual override of the default Labor Class of your Crew member(s) if they performed work as a different Labor Class. Labor Classes can be configured by an admin under Settings > Labor Rates on the global navigation menu. See the Labor Rates Setup article for more guidance. |
Hours Lost |
Enter the number of hours that were lost due to delays or issues. (Lost hours are not deducted from hours worked.) |
Units |
Enter the number of units completed. |
Comments |
Enter comments to appear on the Daily Report and in the Timecard. |

Comments entered for a Crew Member in the Crew Tab are associated with any Lost Hours or any other notes pertaining to the Crew Member's Time entry (e.g. Leaving early for a doctor's appointment, working half of a day, etc.). These Comments are carried over to Time Management for reviewing timecards. Use the Comments Tab and the applicable fields to report on project status, work performed, internal comments, etc. |
Crew Time Conflicts
If a crew member's time on a Daily Report overlaps with time already recorded for them elsewhere (for example, on another Daily Report or timecard for the same day), eSUB Fusion surfaces the conflict to office users on the web so it can be reviewed and corrected before the time is approved.
- Conflicts are flagged in one place for office users, so field-entered time with overlaps does not slip through unnoticed.
- Review and resolve flagged conflicts from the Daily Report's crew time or from Timecard Management.
To review and resolve a conflict:
- Open the flagged conflict from the Daily Report log, the conflicts banner on the Daily Report, Timecard Management, or the Notifications bell on the global navigation menu.
- Review the Current and Field entries side by side in the conflict modal. Select Previous or Next to move between conflicts.
- Select Accept Field Changes to apply the field data, or select Reject to discard it.
Copy Daily Report
When copying a Daily Report, the following information is carried over:
- General Info - Time on site, time off site, total workers
- Comments tab - All data
- Crew tab - All data
- Select the Daily Report to view, then select Copy.

Edit Daily Report
From the Daily Report log:
- Select a Daily Report to view, then select Edit.
- Make edits as desired.
- Select Save when finished.

Delete Daily Report
From the Daily Report log:
- Select a Daily Report to view, then select Edit.
- Select Delete.

Project-specific Daily Report settings can be toggled by a project manager or administrator.

FAQ
Can Daily Reports be created on the mobile app?
Yes. Daily Reports can be created on either the web or the mobile app. See the Daily Reports on Mobile article for more guidance.
Why is a Daily Report not editable?
If you have edit permissions but a Daily Report is not editable, it may be due to the Daily Report edit window setting under Project Settings, or the associated timecard(s) may be in Approved status. Crew time that has been approved under Time Management is also uneditable on the Daily Report.
What information carries over when I copy a Daily Report?
General Info (time on site, time off site, and total workers), all Comments tab data, and all Crew tab data. See Copy Daily Report.
