User Personas: Project Manager | Field User
The Global Documents log groups every document of one type together, regardless of which project it belongs to. Instead of opening six projects to find the six RFIs you are waiting on, you open the global RFI log once.
Any project you are a member of contributes its documents to these logs. That makes the global logs the fastest way to monitor outstanding requests, track job progress, and catch a delay before it reaches you.
To perform the actions described in this article, you must have the General Permissions - View permission for each document type you want to see.

Which Logs Are Available
A global log exists for each of the following document types:

| You only see documents from projects you are a member of, and only for document types you hold the View permission for. Two people can open the same global log and see different rows. |
Log Features
The global logs share the same core features as the project-level document logs. The procedures live in the articles individual document articles rather than being repeated here.
Feature |
What it does | Where to learn more |
Search, sort, and filter |
Narrow the log to the documents you care about. Use the search bar at the top of the page, and the filter button above the document list. Each document log, columns, and filter criteria may differ based on the type of document and information it contains. |

Export the log |
Export the log itself to a spreadsheet, in Excel or .csv format. | Export a Global Documents Log |
Depending on the document, there may be some other filter and view options available:
- Show Revised On/Off toggle.
- Expand/Collapse All toggle.
- Other Filters for filters that may not be contained within a viewable column header.
- Individual Expand/Collapse toggles for each item in a document log.
- 3-dot menu Options.
- Quick-Status buttons to quickly adjust the status of an item.
- List and Card View toggles.
For more information on the functionality of these filter and view options, view the corresponding article for that document.

The Field Notes Global Log can be viewed in List view or Card View. Use the toggle next to the Search bar to change your view from a log view to a gallery view to easily find images. For more information see Field Notes |
View a Document from a Global Log
From a Global Documents log:
- Select a document from the log to open it.
Jump to a Project's Document Log
Each row tells you which project the document belongs to, and next to the Project Name a link () to view that specific document's Project Log. Use it when a global log surfaces something you need to work on in project context.
From a Global Documents log:
- Select the link (
) in Project field on the row you are interested in.
Export a Global Documents Log
You can export a global documents log to a spreadsheet in either Excel (.xlsx) or .csv format. Filter the log first: the export reflects what the log is currently showing, so narrowing it before you export saves you cleaning up the file afterwards.
Filter criteria, column headings may differ in context from document to document.
From a Global Documents log:
- Use the search bar and filters to narrow the log to the records you want.
- Select the Action button in the lower-right corner, then select the Export format preferred.
- Excel (.xlsx) or .csv
See Document Downloads and Exports and individual document articles for more information.
| Filter to a single project and a single status before exporting, and the file lands ready to send. Exporting the unfiltered log and deleting rows in the spreadsheet afterwards is the slow way round. |
FAQ
Why is a document missing from the global log?
Two common reasons. Either you are not a member of the project the document belongs to, or you do not hold the General Permissions - View permission for that document type. Both are set by an administrator. See the Set Up User Access Level and Set Up User Permissions articles.
Should I export to Excel or CSV?
Use Excel when you are going to work in the file. The Excel export carries real cell data types and formatting, so currency arrives as currency rather than as text, and where a log needs more than one sheet the export uses linked sheets rather than flattening everything into one. Use .csv when something downstream needs plain, unformatted data.
Does the export include everything or only what I filtered?
The export reflects the log as you have filtered it. Filter first, then export.
What is the difference between a global log and a project log?
Scope only. A project log shows one document type within one project. A global log shows the same document type across every project you are a member of. The features are the same.
The global logs show the document types you already have permission to view, so there is no separate permission for the log itself (Field Notes, Daily Reports, RFIs, Submittals, Change Order Requests, Purchase Orders, Time & Material Tickets, and Progress Billing).
