User Personas: Admin | Project Management
User permissions dictate what actions a User is permitted to perform within eSUB Fusion. Permissions are assigned and managed via Permission Groups. Once a Permission Group is created, you may assign the Permission Group to Users within your organization.
To perform the actions described in this article, a user must have User Admin - Permission Groups permissions. For creating and managing Permission Groups see the Set Up User Permissions Article.

General Details
The options below are available for all tools such as Field Notes, Daily Reports, RFIs, Submittals, Change Orders, Purchase Orders, Company Drive, and Project Drive. Some of these tools have additional permission options which are detailed under Granular Permission Details.
General Settings - You may grant Users permission to View, Create, Edit, and/or Delete certain document types. In some cases, a User is granted full or no access to a tool by assigning the permission "Yes" or "No".
View: See a document and its details
Create: Make a document
Edit: Update an existing document
Delete: Remove a document (Note - deleting a document will affect number sequencing. The recommendation is to void a document vs. delete it when possible)
Share - Provides a User the ability to email a document. The document may be emailed to other team members or external users. Users may select from a list of already configured contacts or manually enter any email address.
Change Status - Provides Users the ability to change document statuses. Example - Move a Change Order from "Pending" to "Approved" status.
Granular Permission Details
The following are details on what Users will gain access to should you grant them any of the General Permissions previously noted.
User Admin
- Full User Management - The ability to create new or manage existing Standard Users. A Standard User is anyone who will need a login to access eSUB's tools from the web and/or mobile application. By default, giving a User access to Full User Management also provides access to Crew Management. For more information see Managing Users and Crew Members.
-
Crew Management - The ability to create new or manage existing Crew Members. For more information see Managing Users and Crew Members.
- A Crew Member is an employee who is only entered in eSUB for tracking labor hours via Daily Reports. A Crew Member will not have eSUB login access.
- Users do not need to be granted the Crew Management permission to enter time into eSUB. Users only need to be granted Create permissions for Daily Reports to track crew time.
- Permission Groups - User permissions dictate what actions a User is permitted to perform within eSUB Cloud. For more information see Set Up User Permissions
| We recommend limiting the number of Users who are granted "Yes" permissions to the User Admin category. |
Company Admin
-
Settings - Allows a User to update the Company Logo, Timecard Preferences, Tags, Units of Measure, and default document settings and language. For more information see Company Settings.
Cost Codes* - Allows a User to create and manage company level cost codes. All cost codes must be created at the company level and then can be activated at the project level as needed.
-
Labor Classes* - Allows a User to create and manage Crew Member labor classes.
- A User must have General Permissions - View access to see Labor Classes in Daily Reports and Change Orders.
- Contacts - Allows a User to create and manage external contacts from the Global Navigation Resources Tab. For more information see Contacts.
*A User must be granted Company Admin - Settings Permissions in order to access Company-Cost Codes and Company-Labor Classes
| It is recommended that limited Users be granted "Yes" permissions to the Company Settings categories. |
Project Settings
Providing access to Project Settings allows a User to:
- Update project info and project status
- Activate or deactivate project level use of cost codes and cost categories
- Enter project budgets
- Set up email distribution groups for document tools
- Create default COR markups
- Confirm which Users have access to the project
- Note: A User must be setup with Project Level Access in order to toggle the User's name to "No" under Add to Project
Labor Analytics and Job Cost Reports
You may grant users "View" permissions for Analytics Labor Reports, which include Labor Productivity, Labor Unit Productivity, and Hours Lost. Additionally, you can grant permissions for Job Cost Reports which includes Cost Summary and Cost Details.
