The Cost to Complete report lets you track, forecast, and adjust the projected cost and gross profit of your work in one place. It combines your original budget, approved Change Order Requests (CORs), committed costs, and a forward-looking projection so you can determine your projected gross profit. It helps Project Managers monitor cost performance, supports Project Executives in reviewing margins, and gives Accounting a consistent forecast for WIP reporting.
There are two versions of the report: a Project-Level report for a single project, and a Global report that rolls projected cost, current budget, and variance up across every project you can access.
You will need permission group access to Job Cost Reports to use the features below. See the Permissions section at the end of this article.

Before You Begin
For the report to display accurate numbers, the following data should already exist in eSUB for each project you are reviewing:
Data |
How it feeds the report |
Contract Value |
The Current Contract Value derives from the SOV total entered in Progress Billings, or the Contract Value on the Project Info page if an SOV is not used, plus approved CORs. |
Budget |
Input your cost code budgets under your project settings. These values constitute your Original Budget. |
Daily Reports |
Create daily reports with Crew Member hours. Confirm Crew Members have Labor Classes assigned and the project is assigned the appropriate Rate Template. These costs pull into the committed Labor category. |
Purchase Orders |
POs in the Open, Partial Shipment, Received in Full, or Complete statuses flow into committed cost for the Materials, Equipment, Subcontractors, Overhead, and Other categories. |
Approved CORs |
Confirm your CORs are approved with the approved amount and an accurate approved date entered. Approved CORs update the Current Budget and the Current Contract Value. |
Adjustments |
Enter any manual adjustments on each project-level report. Adjustments cannot be made at the global level; the Global report rolls them up. |
Market Area |
Assign a Market Area to each project that should be grouped in the Global report. Projects without one appear under an Unassigned group when grouping by Market Area. |
Accessing the Cost to Complete Report
To open the report from a project:
- Select a project from the Projects log.
- View Reporting on the slide-out menu.
- Select Cost to Complete.
To open the report from the global navigation menu:
- Select the Reporting icon.
- View Project Reports on the slide-out menu.
- Select Cost to Complete.
- Select the desired project from the drop-down menu in the top right. The project picker recognizes your Favorites and Market Areas.
The Global Cost to Complete Report opens from the same Reporting icon under the Global Reports section, covered later in this article.
KPI Cards
The KPI cards across the top of the report are an executive-level summary of your project(s). Each card has multiple characteristics, links, color identifiers, and a description under the values show context such as variance against the Original Budget or the Gross Profit percentage. The card set differs between the two levels of the report:
- The project-level report shows five cards focused on a single job's budget and profit.
- The global-level report shows four cards that roll and summarize the filtered projects up.
Project Level
The five project-level cards summarize the job under the active Through date. Each card's context line shows the formula behind the value or the difference against the Original Budget.
|
The card colors are fixed unless otherwise notes and identify the card rather than its health:
|
Card |
Description |
Original Budget |
The baseline budget loaded against the project at award. |
Current Budget |
Original Budget + the cost side of Approved CORs. An indicator chip shows the difference against the Original Budget. |
Projected Cost at Completion |
Committed Costs (Labor and POs) + Remaining Costs + manual Adjustments, summed across all rows in the table. Remaining costs never drop below $0. |
Projected Gross Profit |
Current Contract Value − Projected Cost at Completion. The card displays:
The indicator chip shows the gross profit percentage (GP%) and the variance against the original. |
Current Contract Value |
SOV total + Approved CORs. If no SOV is present, the value falls back to the Contract Value on the Project Info page + Approved CORs. |
Global Level
The four Global cards summarize the filtered set of projects and recompute every time you change a filter, the grouping, or the Through date. Each card's context line shows the formula behind the value.
|
The card colors are fixed unless otherwise notes and identify the card rather than its health:
|
Card |
Description |
Active Projects |
Count of projects in the current view. The context line breaks the count down by Market Area, including any Unassigned projects (e.g., "Across 3 Market Areas + 0 Unassigned"). |
Current Budget |
Original Budget + the cost side of Approved CORs. An indicator chip shows the difference against the Original Budget, summed across the visible projects. |
Projected Cost at Completion |
Committed Costs (Labor and POs) + Remaining Costs + manual Adjustments, summed across the visible projects. Adjustments roll up from each project-level report. |
Variance |
Variance = Current Budget − Projected Cost at Completion. The Card displays:
The indicator chip shows the variance as a percentage of the Current Budget. |
Report Controls
The filter bar above the table controls what the report calculates and how the rows are organized. Select Expand All to open every group at once, or Collapse All to roll everything back up to the grouping dimension.
Through Date
The Through date defaults to the current date for live tracking. To view the data for a prior cut-off date, adjust the date accordingly. Only costs are date filtered:
Record Type |
Costs included when: |
Change Order |
Approved on or before the Through date. |
Purchase Order |
PO date is on or before the Through date. |
Timecard |
Labor (Worked) date is on or before the Through date. |
Grouping
The same data can be viewed in two ways depending on the question you are trying to answer. Change the Grouping selector in the filter bar:
Grouping |
How rows are organized: |
By Category (default) |
Rows are grouped by category (Labor, Materials, Equipment, and so on) with cost codes beneath each category as sub rows. Use this view for a cross-job lens on a single cost category. |
Cost Code |
Rows are grouped by cost code with categories beneath each cost code as sub-rows. Use this view to monitor performance by scope of work. |
The Cost to Complete Table
Each cell in the report follows a formula. Knowing these formulas helps you reconcile the report against the Job Cost Report or your accounting system.

Project Total Row
A Total row pinned at the bottom of the table rolls up every group using the same column formulas as the individual rows.
| As Remaining Costs never drop below $0 on each row, an over-budget row passes its overage into the Total row's At Completion value, so the total can project higher than the Current Budget even while the Total row's % Used is still under 100%. |
Status Indicators
Each row carries visual health indicators on the % Used and At Completion cells. The thresholds below are applied consistently across line, group, and total rows on both the project-level and Global reports.
% Used Status Indicators
These color indicators ONLY apply to values in the % Used column:
Indicator |
% Used |
What it means |
Less than (<) 90% |
You are comfortably inside the Current Budget. Review on your normal cadence.
90% to 100% |
Investigate before slippage becomes a true overage. Talk to the field and capture any adjustment you need.
Greater than (>) 100% |
The At Completion cell and the Remaining badge returns a Red $0.00 chip( |
At Completion Status Indicators

Making Adjustments
Adjustments are how you bake field intelligence into the forecast. If you know a cost code is going to come in higher or lower than the math suggests, enter the delta in the Adjustment column on that row. The At Completion column, the Project Total row, and the KPI cards all recalculate in real time.
To make an adjustment:
- Locate the row you want to adjust in the data table.
- Select the Adjustment cell.
- Type a value or use the ▴/▾ steppers to change the value in $100 increments.
- Positive numbers add projected cost (Green)
- Negative numbers reduce the projected cost (Red).
- Press Tab or Enter, or select outside the cell, to commit the change.
|
When a project is complete, adjust any rows that are less than 100% Used by the amount remaining to see your final Projected Gross Profit for the job. Example: if a line has $500 remaining, enter −$500 in the Adjustment field to designate that the remaining amount will not be spent. |
| If you are reconciling against another system, note the report on-screen reads $0 in the Remaining column as displayed on screen, not the underlying negative value. Use the hover tooltip on the red chip in the report to recover the true overage. |
The Global Cost to Complete Report
The Global Cost to Complete report gives you a single, company-wide view of projected cost, current budget, and variance across every project you can access. It rolls up the same numbers you see on each project-level report so you can monitor margin and risk at the company level without opening every project. Use it to answer two questions:
How is my projected cost trending against my current budget?
Which projects, Project Managers, or Market Areas are driving the variance?
To open the Global report:
- Select the Reporting icon on the global navigation menu.
- Under the Global Reports section, select Cost to Complete.
A Last Updated indicator in the header shows how long ago the underlying data changed, and a Refresh action re-pulls the data on demand. The Through date works the same way as on the project-level report.
| The Adjustment column is read-only on the Global report. Adjustments roll up from each project-level Cost to Complete report, so enter them there first. |
Global Filters
A Filters panel above the table narrows the company-wide view to the projects you want to review. Filters apply immediately as you make changes; there is no Apply button. With no filters applied, every visible filter reads All, and Clear all filters resets the view.
Filter |
What it does |
Market areas |
Multi-select. Filter to one or more Market Areas, for example Commercial and Healthcare. To update this field, see the project's Project Info page. |
Project managers |
Multi-select. Filter to one or more PMs to review a single manager's book of business. To update this field, see the project's Project Team in the Project Settings. |
Project status |
Multi-select. Focus on active jobs, jobs that are closing, or any combination. To update this field, see the project's Project Info page. |
Reading the Global Table
Each row in the table represents one project, or a subtotal row at the group level. Columns mirror the project-level Cost to Complete columns so you can read them the same way, and the status indicators use the same thresholds.
Use the Grouping drop-down menu above the table to organize the rows. The grouping affects how subtotals are calculated and displayed:
Grouping |
How rows are organized |
By Market Area (Default) |
Projects are grouped by their assigned Market Area, with a subtotal row for each group. |
Project Manager |
Projects are grouped by Project Manager. |
Flat List |
All projects are shown as a single list with no grouping. |
When groups are present, select the ⌄ on any group header to expand or collapse that group individually.
Drill through to a project: select the report indicator on a project row to open that project's Cost to Complete report.
Grand Total row: pinned at the bottom of the table, it rolls up every project visible in the current filter regardless of grouping. The At Completion cell uses the same over/under coloring as the individual project rows.
Exports and Print
On both the project-level and Global reports, select the floating Actions button in the bottom-right of the report and choose a format:
Option |
Output |
Print Report |
A print-friendly layout including the KPI summary. |
Export Report as Excel |
An .xlsx file including the KPI totals and the Project Total or Grand Total row. |
Export Report as CSV |
A flat .csv file of the visible rows. |
| If you are reconciling against another system, note the export reads $0 in the Remaining column as displayed on screen, not the underlying negative value. Use the hover tooltip on the red chip in the on-screen report in your eSUB Account to recover the true overage. |
Examples of these format options are at the bottom of this article.
Permissions
Both levels of the Cost to Complete report use the same permission as the rest of the Reporting menu:
Permission |
What it allows |
Job Cost Reports: View |
