User Personas: Project Manager | Field User
The Request For Information (RFI) module in eSUB Fusion enables you to formally request additional information or clarifications as needed during the life of your project and to record official responses so they are easily accessible by your project members, whether they are in the office or in the field.
To perform the actions described in this article, a user must have the RFIs - General Permissions, Share, Change Status to Closed, and Change Status to Void permissions.

- Select a project from the project list
- Select RFIs
- Use the All, Mine, filter button and search bar options as desired to refine the list
- Select an RFI to view it
Offline Storage of Documents
eSUB Fusion stores up to 1000 documents created or modified in the last 90 days on the user's local device. A user will know which documents are available in offline mode by the download symbol. This feature will limit the amount of storage on a user's device and keep the app running smoothly.
Log Features on Mobile
Search, sort, and filter the log
- Use the search bar at the top of the page to enter your search criteria
- Use the filter button next to the search bar to configure filtering and sorting for the current page

Email documents
- Select the document to view it then select Email on the action button
- Compose the email then select the Send button

Document Statuses, Due Dates, and Flags
Documents with an approval process or of a time-sensitive nature have additional features displayed on the log page so that the most pertinent information is available at-a-glance.
Document Statuses
The Status represents the document’s current state. Status options vary by document type.
Due Dates
Documents of a time-sensitive nature may display a due date. Depending on the document type, the due date may represent a date that is pertinent to an internal or an external stakeholder on the project team.
Flags
Some documents can be flagged for urgency while creating or editing the document. Flagging serves as a visual indicator of importance to the user viewing the document log.
Flags are not currently available on the mobile app.
Create RFI
From the RFI log:
- Select + ADD on the action button
- Fill in the required fields
- Swipe across the screen to access the General, Additional Info, Answer, Media and Files tabs and fill in the fields as needed
- Select the checkmark when finished

RFI Features
See the sections below for additional information on the various features of the RFI document.
General Info
Use the fields in the General Info section to choose recipients for the RFI and to establish base details of the RFI such as the due date, subject matter, and scheduling and/or cost impact. If the No. field is left blank, the RFI number will be generated automatically. If the RFI is marked Urgent, then it will flag the RFI in the RFI log.
Request for Information
Enter supporting details for the RFI, as well as your question and recommended solution.
Answer to Request for Information
This section serves as a place to record the official response to the RFI. Attachments on an RFI have the ability to be designated as the official RFI answer/response and are viewable via the mobile app.
Additional Info Tab
Supplement the RFI with additional information to bring more details to the subject in need of clarification.
Media Tab
Snap photos and videos or upload them from your device library while creating documentation for your project from the field. You also have the ability to add text and freehand markups to images in the mobile app.

Files Tab
Attachments are currently only able to be added to documents via the web, but they may be viewed on the mobile app.
Attachments on an RFI have the ability to be designated as the official RFI answer/response.
Revisions
Revisions allow you to make corrections or updates to the document while also keeping a record of the previous versions. Document revisions will have R1, R2, R3, etc. appended to the document number field so that they can be easily identified. Older document revisions are uneditable, but they can still be emailed or downloaded as PDF.

Activity Log
The Activity Log tab displays a timeline of activity related to the document such as the email activity.
To see the Activity Log tab, a user must have the Mailbox - General Permissions permission.
The Activity Log is currently only accessible via the web.
Add Media and Markup Images
Add Media
While creating or editing the document:
- Select the Media tab (not applicable for Field Notes)
- Use the following icons to add media:
- Gallery icon - Select media from your device’s gallery
- Camera icon - Use the device’s camera to snap a live photo
- Video icon - Use the device’s camera to capture a live video
Markup Images
While creating or editing the document:
- Select the Media tab (not applicable for Field Notes)
- Select the thumbnail of the media to view it in full screen then select Markup

Freehand Markup - Select your desired color for the markup then use a finger to draw a freehand markup on the image
- Select Undo Markup to remove the last markup

Text Markup - Double tap the image where you would like the text to appear then select your desired text color/size, enter your text and select Save
- Select Undo Text to remove the last text markup

- Select the checkmark when finished

Record an RFI Response
While creating or editing the RFI:
- Complete the fields in the Answer tab
- Select the Responded On field and choose a date
- Select the RFI Status
- Enter an RFI Status Comment
- Enter the response into the Answer to Clarification field
- Select the checkmark when finished

| Certain actions, such as entering a Responded On date to the RFI, will automatically update the status to Answered. The status can also be manually changed. |
Revise RFI
From the RFI log:
- Select an RFI to view, then select Revise on the action button
- Make corrections as desired
- Select the checkmark when finished
| Previous revisions of a document will have their status automatically updated to Void. |
Edit RFI
From the RFI log:
- Select an RFI to view, then select Edit on the action button
- Make edits as desired
- Select the checkmark when finished
